Stall Applications for Bicester’s Big Lunch are now OPEN!

OneBicester presents Bicester’s Big Lunch 2020 on Sunday 7th June.  It is one of the largest Big Lunches in the UK with around 5,000 people attending, growing year on year. This year the Big Lunch takes up a cycling theme as we celebrate the Womens Cycle Tour Grand Depart Bicester, which takes place the day after, on Monday 8th June 2020. More details about the tour and events in the town centre will be announced soon.

Bicester’s Big Lunch begins with a Churches Together Service at 11am around the Town Clock with the main event taking place from midday until 5pm.  There will be two stages, a performance arena and busking zones hosting local talent. In addition to some big cycle activities, NEW for the 2020 event will be a Dog Show hosted by Phoenix Dog Grooming.

Charities & Community Groups Stall Applications are free of charge, however there is an expectation that each organisation contributes to the event by providing at least one activity that visitors to the event can participate in. The activities you do can raise money for your organisation or another group of your choosing.

We’d love all stalls to be decorated with fun and bright colours and we’re encouraging all stalls to be creative with the cycling! There will be a competition on the day for the best decorated stall!  The prize will be a £50 voucher for the winning organisation.

NEW for 2020 – We’re aiming to encourage all our stall holders to go single use PLASTIC FREE! Please pay special attention to Terms & Condition Items 13, 14 & 15. All stalls supplying food must provide recyclable or bio-degradable containers (boxes, plates, bowls, cups, cutlery).  No Polystyrene containers or cups are permitted at the event. This will be enforced on the day with an additional cash charge of £25 if any stall holder is found to be in breach.

*Charity & Not for Profit Stalls will ONLY receive a single pitch – up to 3m x 3m (additional space may be available upon request)

The application deadline is 9pm on Friday 17th April 2019. However we may close applications early if all spaces are filled. We aim to process and consider applications within 15 working days of receipt.  Successful applicants will be sent details of how to pay and complete their booking. Please note that bookings are only confirmed once Stall fees have been paid.

Spaces are limited, therefore it is essential you submit your application as soon as possible along with your completed risk assessment, public liability insurance and any other required documentation.

Please note that the event organisers DO NOT provide electricity. All traders that require electricity must provide their own and include relevant H&S documentation within the risk assessments submitted on application.

  Terms & Conditions

  1. OneBicester reserve the right to allocate and locate each stall at the event.
  2. All fees are payable upon confirmation of successful application.
  3. Fees are only refundable if the event is cancelled or under exceptional circumstances which must be notified in writing by email  (info@bicestersbiglunch.org.uk). A 50% cancellation charge will be deducted for any such notifications before Friday 17th April 2020. Cancellations after this date will be non refundable.
  4. Stallholders are required to provide their own table(s) and gazebo if required (the gazebo should not exceed the standard size of pitch booked).
  5. Charity & Not for Profit Stalls must provide a family-friendly activity which will need to be specified on the application form, please note OneBicester reserve the right to limit activities that are the same e.g. tombola.
  6. Where products/services are sold a pricing structure must be submitted with the application.
  7. No vehicle movement will be allowed on site during the event hours.
  8. Stall trading hours will be from 12 noon until 17:00.
  9. Stallholders are not permitted to start trading until they have been given the go ahead by the Event Safety Officer, following a Health and Safety Inspection.
  10. Stallholders must keep within the confines of their pitch and must not move any street furniture. Stall holders exceeding their pitch will be charged the additional fee as advertised on the booking form.
  11. Stallholders must remain at their pitch until the close of the event. No stalls are permitted to leave early without the prior approval of the Stall or Event Manager.

  2. No Polystyrene or plastic containers, cups, cutlery or straws are permitted at the event. This will be enforced on the day with an additional cash charge of £25 if any stall holder is found to be in breach. 
  3. No Single Use Plastic bags are permitted ALL traders must use paper bags or bags which are reusable. 
  4. Waste water must be put in containers and not poured on the ground. Stallholders are responsible for keeping their area tidy, including frontage and preparation area. All rubbish should be placed in the appropriate recycling/composting bins/skips. Failure to clean your area or damage caused to your area will result in additional costs.
  5. Disposal of materials such as waste cooking oil, hot barbecue coals and unsold food etc… must be carried out in a manner which does not cause damage to any part of the event site including drain points, refuse points or road surfaces.
  6. Damage caused to the highway, road surface, street furniture or drains through incorrect siting of equipment will be the responsibility of the stallholder and any remedial works and their associated costs will be charged to the stallholder or claimed against the stall holders insurance.
  7. By applying for a stall you agree to our Terms and Conditions.
